Virtual Receptionist

We have a unique opportunity for you. One of our clients in the construction industry asked us to find a passionate candidate in Mexico who’s comfortable working 100% remotely for a company outside of Mexico. The candidate needs to be bilingual, fluent both in Spanish and English languages, very dynamic, well organized and has a sense of being one step forward to prevent any possible problem before it arises.
The ideal candidate will be well organized and will be responsible for performing clerical and administrative duties, will be responsible to answer the phones, and will be the first point of contact for clients, suppliers and general public. The candidate will serve as the "face" of two different companies, thus enriching the image and experience of each of the companies.
Main Responsibilities

Answer phones and operate a virtual switchboard.

Route calls to specific people.

Answer inquiries about two companies.
-
Maintaining employee and department directories.
-
Maintains security and telecommunications system by following procedures, monitoring logbook.

Manage company’s general agenda.
-
Renew Licenses, permits, certificates, tags etc.
-
Help organize office activities.
-
Work with Safety Department to investigate damage, incidents or near misses in the worksite, and ensure proper procedures are carried out according to the Company's Safety Program.

Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

Take and deliver messages.
-
Schedule meetings and conference rooms.
-
Call IT for computer assistance.

Perform data entry.
-
Type, format, or edit routine memos or other reports.
-
Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.

Perform other job duties as assigned
Qualifications
-
1+ years of previous receptionist experience preferred.
-
At least high school/GED; University/College Degree or equivalent preferred.

Bilingual English/Spanish.

Familiarity with phone systems.
-
Skill in communicating effectively with others both orally and in writing.

Knowledge of principles of telephone etiquette.
-
Good Listener.
-
Has a positive Customer Service attitude.

Handles Pressure well.
-
Organizational skills.
-
Knowledge of standard office principles and procedures.

Proficiency with basic PC hardware and software, including MS Word and MS Excel preferred.

Experience using virtual phone apps.

Skill in recording and retrieving general information.
